Operations Department Tasks

OBJECTIVES:

To ensure the event running smoothly with good monitoring on games / events conduct,
public security, first aid kit and emergencies, visitor’s comforts, staff’s welfare etc.


OVERALL JOB SCOPE:
  1. To work closely with Zoo Negara’s management and other departments before, during and after the event.
  2. To attend meeting with Zoo’s Management as and when required.
  3. To ensure the smooth arrangements for events, prizes, F & B, visitors and staff.
  4. To update the project committee on the on-going progress of the department’s and their activities.
  5. To produce weekly report and presentation.
  6. To get quotations, to evaluate and to engage vendors/suppliers/contractors for exhibition booth.
  7. To get quotations, to evaluate and to engage caterer for F & B for VIPs and crew members.
  8. To find sponsorship for crew members.
  9. To do exhibition booth layout; will take place after confirmation at site and approval made Zoo’s Management.
  10. To prepare menus for the event day for VIPs and crew members for breakfast, lunch and tea break.
  11. To locate the correct venue for Press Conference, carnival/exhibition, mini concert, artist performance, games etc.
  12. To get quotations, to evaluate and to suppliers for sound systems during Press Conference and event.
  13. To find and list all the ad-hoc and operations department scope.
  14. To work with all department on before and during the event.
  15. To engage personnel from Persatuan Bulan Sabit Merah to standby (with ambulance) during the event.
  16. To prepare a basic first aid kit; for minor injuries only.
  17. To liase with appointed photographer on schedule of photo session, photo during event, photo during Press Conference etc.
  18. To get additional security personnel to ensure the safe surrounding during Press Conference and event.
  19. To keep in touch with all member of other project committee members on operations jobs scope.
  20. To prepare list of new operations committee team and new scope of work during Press Conference will circulated to team members and lead by operations team members.
  21. To do the details of activity checklist, timeline for operations department.

* There will also be various ad-hoc tasks arise which will be relevant and suitable team members.
