Event Purpose:

  1. Awareness campaign to increase traffic at the Zoo.
  2. Fundraising campaign to upgrade the various enclosures at the Zoo in hope of elevating the Zoo to international Status.

Event Celebrities: Zainalabidin,M.Nasir,Fazley, Pija, REM, Dia Fadila,Ajai & Nurul, Ahlifqir, Hazami, etc

Songs Selection : Chosen upon registration
Prizes : 1st, 2nd and 3rd – hampers given by Zoo Director
Judges : 1 from Zoo and 1 from sponsor

B) Drawing & Colouring Contest
Time : 1:30 pm to 2:30 pm
Location : Picnic area, Zoo Negara
Category : Age Between 6 – 9 years old
Age Between 10 – 12 years old
No. of Participant : Max. 20 contestants per age category
Prizes : 1st, 2nd and 3rd – hampers
Judges : 1 from UiTM Representative and 1 from sponsor

C) Treasure Hunt
Time : 3:00 pm to 4:30 pm & 8:00pm to 9:30 pm
Location : Inside Zoo Negara (5 check points*)
Category : Day Treasure Hunt (Public & Celebrities)
Night Treasure Hunt (Public & Media)
No. of Participant : Max. 10 families & 10 celebrities/medias
10 groups – each group consist of one family
with at least 1 kid and 1 celebrity
Prizes : 1st, 2nd and 3rd fastest group
Judges : 5 from PRG - PLK

Operations Department Tasks

OBJECTIVES:

To ensure the event running smoothly with good monitoring on games / events conduct,
public security, first aid kit and emergencies, visitor’s comforts, staff’s welfare etc.


OVERALL JOB SCOPE:
  1. To work closely with Zoo Negara’s management and other departments before, during and after the event.
  2. To attend meeting with Zoo’s Management as and when required.
  3. To ensure the smooth arrangements for events, prizes, F & B, visitors and staff.
  4. To update the project committee on the on-going progress of the department’s and their activities.
  5. To produce weekly report and presentation.
  6. To get quotations, to evaluate and to engage vendors/suppliers/contractors for exhibition booth.
  7. To get quotations, to evaluate and to engage caterer for F & B for VIPs and crew members.
  8. To find sponsorship for crew members.
  9. To do exhibition booth layout; will take place after confirmation at site and approval made Zoo’s Management.
  10. To prepare menus for the event day for VIPs and crew members for breakfast, lunch and tea break.
  11. To locate the correct venue for Press Conference, carnival/exhibition, mini concert, artist performance, games etc.
  12. To get quotations, to evaluate and to suppliers for sound systems during Press Conference and event.
  13. To find and list all the ad-hoc and operations department scope.
  14. To work with all department on before and during the event.
  15. To engage personnel from Persatuan Bulan Sabit Merah to standby (with ambulance) during the event.
  16. To prepare a basic first aid kit; for minor injuries only.
  17. To liase with appointed photographer on schedule of photo session, photo during event, photo during Press Conference etc.
  18. To get additional security personnel to ensure the safe surrounding during Press Conference and event.
  19. To keep in touch with all member of other project committee members on operations jobs scope.
  20. To prepare list of new operations committee team and new scope of work during Press Conference will circulated to team members and lead by operations team members.
  21. To do the details of activity checklist, timeline for operations department.

* There will also be various ad-hoc tasks arise which will be relevant and suitable team members.

Sponsorship & Marketing Department Tasks

OBJECTIVES:
  1. To find the sponsors for funding the entire event.
  2. to build business partners by approaching exhibitors taking part in the event.
  3. to promote and market the idea of helping the ZOO NEGARA by holding the Karnival "Wow! Hebatnya Zoo", to the public though Local Authorities with the aim of getting support & pulling crowds.
OVERALL JOB SCOPE:
  1. To discuss, find and list all the potential donors especially for organizations that use the animals as their organizations’ symbol.
  2. To prepare the proposal and other correspondence in order to approach the sponsors.
  3. To approach the Local Authorities, Schools, Community as well as corporate organizations to take part during the event day.
  4. To work with Operations Department on the followings:
    a). Managing the in kinds sponsorship collected especially on the location to put all the items.
    b). Arranging and setting up the booth for donors, giving away the goodies, in kinds item for competition etc.
  5. To work with Publicity & Promotion Department on the followings:
    a). Marketing the ideas to the Local Authorities or Corporate Organizations.
    b). To communicate/liase with ZOO NEGARA on what types of contribution that they can give to the community/public for their participation.
  6. To keep in touch with other project committee members that want contribute on sponsorship.
  7. To work with Treasury and Solid Gols in managing the fund (cash) collected especially from individuals.
  8. To do the Details Activity Checklist / Timeline for Sponsorship Department.
  9. To update the project committee on the on-going department’s activity and produce weekly report and presentation and submit report to Project Leader.
  10. To assist for assessment, evaluation and final report writing for the project.
  11. To establish contact with vendors and suppliers on carnival date.

Publicity & Promotion Department Tasks

OBJECTIVES:

To ensure a successful event and public participations to support the event. Promotions angle will be created through all important channels. Get the message across to target audience/visitors to Zoo Negara for the event.

OVERALL JOB SCOPE:

  1. To discuss, find and list all the potential types of promotional material.
  2. To create and design handouts and other written materials
  3. To approach the Local Authorities, Schools, Community as well as corporate organizations to take part during the event day.
  4. To collaborate with Adhoc & Technical Department on the followings:
    a). Arranging the location to distribute handouts.
    b). Distributing the leaflets, poster and etc.
  5. To collaborate with Sponsorship & Marketing Department
    a). Collecting funds to support the event.
    b). To identify sponsors that may contribute to the event
    c). To act as spokesperson to Sponsorship & Marketing Department to raise fund.
  6. To work with Media Relations & Protocol Department
    a). To assist the department by identifying the best media channels in order to get highest publicity.
    b). To assist in invitation of VIPs and guest artiste involved.
    c). To collaborate in every task related to media relations and publicity.
  7. To work with Zoo Negara and main sponsors in creating and printing of the promotional materials (electronic and printed)
  8. To prepare the Detail Activity Checklist / Timeline related to publicity and promotion of the event.
  9. To update the project committee on the updates/ progress inter-departmental activity and produce weekly report and presentation, when necessary.
  10. To assist team member’s assessment, evaluation and final report writing for the project.

Corporate Communications & Media Relations Department Tasks

OBJECTIVES:


To get full coverage and good response from media (electronic and print) on the event and to assure that all activities are organized accordingly.

OVERALL JOB SCOPE:

Corporate Communications Task

  1. To do the details activity checklist for the department.
  2. To discuss, find and list all the invitees such as from Solid Group, Zoo Negara, Ministry, UiTM etc during the Press Conference and Carnival.
  3. To liaise with UiTM such as Vice Chancellor’s office, Dean of Mass Communications Faculty, Corporate Communications Department.
  4. To prepare the tentative programme for the event including during the press conference.
  5. To prepare the interlay/invitation card.
  6. To liaise with Zoo Negara during Press Conference
  7. To liaise with minister's office for karnival launch

Media Relations Task

  1. To list all the main press (electronic & print) for press invitation
  2. To prepare the press gift during the press conference and Carnival.
  3. To prepare the media kit (news release/programme)
  4. To liaise with the electronic media (radio & tv station) in arranging the date for interviews.
    a). To liaise with the producer in getting slots in MHI and radio for the Ambassador of Zoo Negara (Zainal Abidin) and artist involve.
    b). To liaise with entertainment magazines editor and newspaper editor for interviews with Zainal Abidin
  5. Media Announcement:
    1. Skuad Avanza Era
    To request Zoo to provide 50 entrance tickets to be given away to the listeners and that Zainal Abidin will join the squad to distribute it as part of promoting the carnival.
    2. Era website through ‘Zon Aktiviti’ Celcom slot:To announce our event through the website
  6. To work with Publicity & Promotion Department in matters pertaining to:
    1. Promo with media
    2. Printing & design the interlay (invitation card)
  7. To update the project committee on the on-going department’s activity and produce weekly report and presentation.
  8. To assist for assessment, evaluation and final report writing for the project.
